December 8, 2015 – Whether you’re a first-time exhibitor or a seasoned sponsor, planning how you are going to ship your materials to and from your trade show is never a waste of time. Exhibiting at a trade show is already overwhelming, so it is essential that you save yourself unnecessary turmoil by following Best Display & Graphic’s trade show transportation checklist.
The Trade Show Transportation Checklist
□ Instead of waiting until the last minute to ship your items, make arrangements well in advance. At Best Display & Graphics, you can feel safe storing your displays at our facilities because we take care to properly package and store all of our customers’ materials. What’s more, is that all you have to do is notify us when you need your materials and we will not only ship but also assemble and disassemble them at the venue.
□ Know your deadlines, especially if shipping to an advanced warehouse. Be sure to include a bit of extra time if you can in case of bad weather or other issues at customs if shipping internationally.
□ Take time to label all of your belongings so that you don’t have to waste any time searching come the day of the trade show. Adding your business card to each package will further ensure that your items arrive at the venue safely and in a timely manner.
□ Write down any important information that you might need, including but not limited to the event location, your booth number, the weight of all of your boxes, contact information, the target delivery time, and the show name.
□ Compare freight prices between various shipping companies. In doing so, you will save money that can be put towards other, more important expenses.
□ Remember that a broker is required for customs clearance – if you don’t have one ask your freight broker if they can assist; most of them will. Best Displays & Graphics will even take care of all the custom work paperwork for you!
□ Don’t forget that when you ship, especially to an advanced warehouse, you’ll most likely be paying drayage for show employees to transport your booth from the shipping dock to your booth space. One way to avoid this is to consider using smaller displays if possible. That way, you can easily take them onto an airplane and/or into a vehicle with you to the show.
□ If you are traveling out of town, don’t forget to make arrangements to stay with a friend, or family member, or at a hotel/motel/Airbnb.
□ When traveling internationally through customs, always have proper documentation, follow all of the necessary procedures, and remember to track all of your items regularly.
Shipping a large number of items can be quite a hassle, especially if you have to send them to another country via plane.
